Position Description
ShipIn is seeking a detail-oriented and proactive Logistics Coordinator to manage global hardware logistics and inventory operations supporting vessel deployments. This role is critical in ensuring the right equipment is available, shipped on time, and delivered smoothly to vessels worldwide.
You will take full ownership of inventory planning and shipment coordination, working closely with Operations, warehouse partners, freight forwarders, and vessel agents. This role is highly coordination-driven and time-sensitive, requiring strong follow-up, accuracy, and the ability to adapt quickly to changing priorities.
Key Responsibilities
Inventory Management & Planning
- Oversee inventory planning and reorder levels across global warehouses (USA and Singapore) to align with deployment forecasts, lead times, and prevent shortages.
- Proactively monitor stock to generate Purchase Orders (POs) and handle ad-hoc procurement requests for operational needs.
- Review and validate supplier and logistics invoices prior to management approval.
Shipment Coordination (Global & Vessel-Based)
- Manage the complete shipment lifecycle of hardware kits and spare parts to vessels, agents, and consignees by collaborating with Operations, warehouse partners, and freight forwarders.
- Prepare and ensure the accuracy of shipping documentation, including commercial invoices and packing lists.
- Track shipments closely, provide proactive status updates to stakeholders, follow up to confirm final delivery, and maintain accurate internal tracking in systems (e.g., Monday.com).
Coordination & Issue Resolution
- Act as the primary liaison between internal Operations, external warehouses, freight forwarders, and vessel agents.
- Identify and resolve shipment delays, documentation errors, and logistical bottlenecks, maintaining ownership of day-to-day resolution and escalating critical issues when necessary.
- Adjust logistics plans swiftly in response to changing vessel schedules to minimize disruptions to deployment timelines.
Reporting & Process Efficiency
- Maintain accurate, up-to-date tracking of all inventory and shipments in internal tools to ensure status visibility and reduce manual follow-ups.
- Deliver weekly inventory reports and actively identify opportunities to improve logistics workflows and optimize vendor performance.
What Success Looks Like
- Hardware is consistently available and delivered on time to meet deployment schedules.
- Shipments are executed with minimal delays and zero documentation errors.
- Stakeholders have full visibility on shipment status without needing follow-ups.
- Spares and urgent requests are handled quickly and effectively with minimal disruption.
Qualifications & Experience
- Bachelor’s degree in Supply Chain, Logistics, Maritime Studies, or a related field.
- 3–6 years of experience in logistics, supply chain, or maritime operations.
- Proven experience in inventory management, forecasting, and global shipment coordination.
- Strong understanding of shipping processes and documentation.
- Experience with vessel-based deliveries, port agents, or maritime logistics is highly preferred.
- Proficiency in Microsoft Excel, Monday.com (or similar project management tools), and Google Workspace.
- Strong attention to detail with the ability to manage multiple shipments and priorities simultaneously.
- Excellent communication, coordination, and problem-solving skills.
